How do we process your data?
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them
To respond to enquiries. When you submit information to this website via webform, we collect the data requested in the webform in order to track and respond to your submissions. We share this information with Squarespace, our online store hosting provider, so that they can provide website services to us.
Ticketing Data
We use a third-party provider, TicketTailor, to manage the registration and payment processing of tickets to our events. Information about TicketTailor’s data policy can be viewed here.
From time to time we may hold events in partnership with other organisations such as Universities or hired venues. We will let them know about your booking and share your name and contact details with them for event registration purposes only. We will not share sensitive information or your payment details.
Mailing List
As part of the registration process for email updates, we collect personal information. We use that information to tell you about our news and events. We don’t rent or trade email lists with other organisations and businesses.
We use a third-party provider, MailChimp, to deliver our emails. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our communications. You can unsubscribe to our mailing list at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails.
Donations
When you donate to us we need to collect some of your personal information. We’ll always collect, use and store your data responsibly, and make sure your data is protected.
The policy might change from time to time, but we’ll update this page when it does.
What information we ask for
Our donation processor is Stripe. They collect information on our behalf to process your donation and they store it securely. We make sure the suppliers we work with follow data protection law. They’ll only use your information to do the work we’ve asked them to and only if that information is relevant to the work they’re doing. They can’t give, sell or rent your personal information to anyone else for any reason. We manage the relationship with them and their obligations through a legally binding data processing agreement. The agreement outlines our relationship: The Lesbian Project is the data controller and Stripe is the data processor.
The information they collect and store on our behalf is:
● data to identify you, such as your name - for example, if you make a donation
● your contact details, such as email address, postal address and phone number - for example, to be able to process a donation or if you sign up to receive communications from us
● financial data, such as your bank or card details - so that they can process your donation on our behalf
● marketing data, such as your preferences for how we communicate with you your reason for donating and specific interests relating to our work - this means we can make sure our communications with you are relevant
● records of your history with us, including transaction data, details of your donation
We download the following information from the our data processors to enable us to contact you if you have asked us to keep you up-to-date with our fundraising activities or our work:
● data to identify you, which includes your name, your address, your email address and phone number
● Information about your donations, including the number of times you have donated to us and the donation amounts (but we do not see any financial data, such as your bank or card details)
● marketing data, such as your preferences for how we communicate with you your reason for donating and specific interests relating to our work - this means we can make sure our communications with you are relevant records of your history with us
We do not see any of your financial data (i.e. bank or card details) relating to your donations that Stripe processes on our behalf or that any other third party donation platform processes on our behalf.
How we use your information
Stripe payments are automatically integrated into our secure CRM hosted by Donorfy. This displays name, contact details, donation amount and donation date. It does not receive or store any card details or bank information.
We’ll only use your data for the reason it was collected. For example, for:
● processing information internally
● deciding how we continue to communicate with you and what we send
● reviewing our services and how we operate
The lawful grounds we use to process your personal data are:
● contractual - if we enter into a contract with you, we’ll process information to administer that contract
● legal obligations - we’ll sometimes pass on personal information to comply with our legal obligations. For example, providing tax information to HMRC in the UK
● legitimate interest - our legitimate interests enable us to meet our charitable objectives. This includes governance and operational management, publicity and income generation, administration and financial management and control
● consent - we rely on consent as a legal basis to process your information when we send you marketing communications about fundraising, campaigning or events. You have the right to withdraw your consent at any time by emailing support@thelesbianproject.co.uk or by clicking the unsubscribe link in any emails we send you.
As a non profit organisation, we undertake in-house research and from time to time engage specialist agencies to gather information about our supporters from publicly available sources, for example, Companies House, the Electoral Register, company websites, ‘rich lists’, social networks such as Linkedin, political and property registers and news archives.
You will always have the right to opt out of this processing. We may also carry out research using publicly available information to identify individuals who may have an affinity to our cause but with whom we are not already in touch. This may include people connected to our current major supporters, trustees or other lead volunteers. We also use publicly available sources to carry out due diligence on donors and to meet money laundering regulations. This research helps us to understand more about our donors so we can focus conversations we have about fundraising and volunteering in the most effective way, and ensure that we provide an experience which is appropriate.
When we share your information
We might share your information without your consent if we’re required to by law, for example:
● to assist police enquiries
● in response to court orders
● to prevent fraud
● to protect your safety or the safety of others
Storing your information
We’ll store your information for 6 years. If you tell us you don’t want us to contact you, we’ll still need to store your information for financial reasons.
We'll do all we can to maintain the security, integrity and confidentiality of your data. We'll make sure your information is handled sensitively and securely.

How long do we retain your data?
We will only keep your personal information for as long as it’s necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).
When we have no ongoing legitimate need to process your personal information, we will either delete or anonymise such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
How do we keep your information safe?
We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. However, despite our safeguards and effort to secure your information, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot guarantee that hackers, cybercriminals or other unauthorised third parties will not be able to defeat our security and improperly collect, access, steal or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or Information Commissioner’s Office (ICO).
